Google Sync for your iPhone

Have you ever wished you could just have everything automagically kept in sync, between your iPhone, your computer, and your Google account? Yup, me too.

That exactly what Google Sync with Exchange is. Setup is fast and easy, and you get to keep your entire world in sync, for free.

MobileMe is similar, but not free. However, it’s important to note that the $99/year MobileMe subscription includes a feature to help find your iPhone in case it’s stolen. Handy.

I have my iPhone setup with Google Sync. On my Mac, Address Book & iCal are also set to sync with Google as well. That means my iPhone, Mac Address Book and Google are always up-to-date. I can add a contact or appointment to my iPhone and it shows up everywhere.

Interested? Here’s how to setup Google Sync for your iPhone. (Here’s Google’s official instructions, but mine are better!)

Getting Started

First, you should back up your iPhone. It’s not required, but it’s not a bad idea.

To ensure that Contacts and Calendars from your iPhone are backed up to your computer, perform a sync with iTunes. You can learn more about backing up your contacts and calendars from Google.

    Create an Exchange Account

On your iPhone, open the Settings application, and Open Mail, Contacts, Calendars.

  1. Open the Settings application on your iPhone’s home screen.
  2. Open Mail, Contacts, Calendars.
  3. Select Microsoft Exchange.

  4. Tap Add Account…
  5. Select Microsoft Exchange.
  6. Enter Account Information

Enter Your Account Info Verifying. Choose Cancel if the Unable to Verify Certificate dialog appears.

  7. Enter your Account Information, and tap Next.
    • Email: Enter your full Google Account email address. (e.g. yourusername@gmail.com)
      • If you use an @googlemail.com address, you may see an “Unable to verify certificate” warning when you proceed to the next step.
    • Domain: Leave this field blank.
    • Username: Enter your full Google Account email address. (e.g. yourusername@gmail.com)
    • Password: Enter your Google Account password.
    • Description: Enter Google Sync.
  8. Enter the Server

When the new Server field appears, enter m.google.com. Press Next to continue.

  9. Choose Cancel if the Unable to Verify Certificate dialog appears.
  10. Server: Enter m.google.com. This field seemingly appears out of nowhere. 🙂
  11. Press Next at the top of your screen again.
  12. Select Google Services to Sync

Select the Google services (Mail, Calendar, and Contacts) you want to sync.

  13. Select the Google services—Mail, Calendar, and Contacts—you want to sync.
  14. Keep or Delete & Replace iPhone Contacts?

  15. Choose whether to Keep or Delete & Replace your existing iPhone contacts. Are all your contacts saved in Google Contacts already?
    • If yes, choose Delete all the existing Contacts and Calendars and they will be replaced with your Google Contacts. (See note)
    • If not, select the Keep on My iPhone option when prompted. This choice will also allow you to keep syncing with your computer via iTunes (which we are replacing with Google Sync, so it’s not required at all).

Google My Contacts vs. Google All Contacts

Google Contacts contains “My Contacts” (contacts you added yourself), and “All Contacts” (both My Contacts and the contacts Google suggests for you from your email). There are also three default groups which you cannot delete, but do not sync to your phone—Friends, Family, Coworkers.

    • If you want to sync only the Google My Contacts group, you must choose to Delete Existing Contacts.
    • If you choose Keep on My iPhone to keep existing contacts, it will sync the contents of the Google All Contacts group.
      • If there are no contacts on your phone, the contents of the Google All Contacts group will be synced.

Return to reading about the choice to Keep or Delete existing contacts.

To Keep or Not to Keep, that is the question...

How to Sync Multiple Calendars

  • If you’d like to enable multiple calendars to sync from your Google Account, follow these steps:
    1. Open Safari on your iPhone and go to http://m.google.com/sync.
    2. Sign in with your account and select your iPhone to configure Calendars.
  • If you use Google Apps, follow these steps:
    1. Open Safari on your iPhone and go to http://m.google.com.
    2. Click on Google Apps user? at the bottom of the screen.
    3. Enter your domain name (e.g., YourDomain.com).
    4. Click the Sync icon in your domain area (this section has a green background). Sign in if required.
    5. Select your iPhone to configure Calendars.

Congratulations!

You’ve successfully set up Google Sync! Synchronization will begin automatically if you have Push enabled on your iPhone. You can also open the Mail, Calendar or Contacts app and wait a few seconds to start a sync.
